Standing orders
How to create, authorize, pause, resume, and cancel recurring monthly payments.
A Standing Order is a recurring monthly payment instruction. Once authorized, it stays active and creates one Forward-Dated Transaction occurrence at a time. That child instruction follows the company's working-day calendar and produces the posted Transaction on execution.
Before you begin
Complete Before processing the first transaction. For this task, also confirm that the authorized working-day calendar covers the first occurrence and that both Standing Order and Forward-Dated Transaction reference sequences are configured.
Creating an order requires Create Standing Order and access to its header Booking Branch. Manual FX rates additionally require Override FX Rate for Transactions. Reading, exporting, editing, deleting, and approving use their corresponding Standing Order permissions.
Data access is determined by the header Booking Branch. Posting lines may use accounts from other branches.
Create a Standing Order
- Open Operations → Customer Relationship → Standing Orders.
- Select New Standing Order.
- For a system administrator, select the Company.
- Select the Booking Branch.
- Enter the Day of Month, from 1 to 31.
- Select a Start Date. This is the first month in which the order may run and cannot be before the company's current working day.
- Optionally select an End Date. Leave it blank for an open-ended order.
- Enter an optional Narrative.
- Add the posting batches and lines. Each batch must contain Debit and Credit lines that balance in the company base currency. Confirm each batch's optional Cost Centre.
- Select Save as Draft or Save & Submit.
Standing Orders currently run Monthly. If the chosen day does not exist in a month, the occurrence uses that month's last calendar day. If the occurrence falls on a non-working day, execution rolls forward to the next configured working day.
A new batch defaults to the maker's current Cost Centre when one is assigned. The value may be changed or left unassigned. Every generated occurrence keeps the configured batch Cost Centre and the resulting posting stores Code and Name snapshots.
Authorization and activation
The order follows the configured approval path, descending L3 → L2 → L1 when all three levels are required. The maker cannot approve their own order, and each approver must be eligible for the current stage and have access to the Booking Branch.
On final authorization, the Standing Order becomes Active and remoteEaze creates its first Forward-Dated Transaction. The detail page shows the next scheduled date and links to the current child instruction. Another occurrence can be generated only after that child becomes Executed, Failed, or Cancelled. When no occurrence remains before the End Date, the Standing Order becomes Completed.
If an approver rejects the order, the maker can edit and resubmit it. A denied order is terminal.
Pause, resume, or cancel
These actions require Update Standing Order.
- Pause stops generation of future occurrences while retaining the order.
- Resume returns a Paused order to Active. If its current child is still Scheduled or Executing, remoteEaze keeps that child and does not create a duplicate. The next occurrence is generated only after the current child becomes Executed, Failed, or Cancelled.
- Cancel Order permanently stops future occurrences and records the cancellation reason.
Pause or cancellation does not undo a child Forward-Dated Transaction that has already been generated. Open that child instruction to review its status and, where it is still Draft or Scheduled, cancel it separately if required.
Edit and delete drafts
A Captured or Rejected order can be edited before authorization. Frequency is fixed to Monthly and cannot be changed after creation. Only a Captured draft can be deleted, using Delete Standing Order. Active, Paused, Cancelled, and Completed orders remain in history.
Monitor Standing Orders
Open Operations → Customer Relationship → Standing Orders. Search by reference or narrative and filter by business status, approval status, or company when available. The detail page separates the maker-checker Approval status from the business status: Draft, Active, Paused, Cancelled, or Completed.
Users with Export Standing Order can export records within their permitted scope.
