Before opening the first account

Verify products, statuses, currency, calendar, branch, customer, access, and approval coverage before opening an account.

What this prepares

A permitted user can create and authorize the intended customer, agent, or internal-ledger account, and remoteEaze can establish its opening financial position.

Required before first use

  • The relevant standard account-number sequence exists. License creation seeds separate sequences for customer, agent, and internal GL accounts.
  • The selected ledger Product is Authorized and is not a protected system-managed product.
  • The selected Account Status is active reference data and permits the operations the account is expected to perform.
  • The account currency is configured for the tenant.
  • The selected branch exists and is within the maker's data-access scope.
  • An Authorized active financial working year exists. Final account authorization uses its current working day as the opening date and creates the initial zero value-date balance.
  • For a customer-facing product, select either an Authorized customer or create an agent account. An internal GL product must not be linked to a customer or marked as an agent account.

Use Currencies, Chart of Accounts, Account configuration, and Business calendar for the supporting configuration.

Access and authorization

  • The maker needs Create Account and access to the account branch.
  • A user correcting somebody else's Captured or Rejected draft needs Update Account. The original maker can correct their own draft through Create.
  • Provide the exact L1, L2, and L3 Account authority required by the maker role's Create setting. The maker or last modifier cannot check their own work.

Required only when using this feature

  • If an Account Condition is selected, it must be Authorized, use the same currency as the account, and be actively linked to the selected product.
  • Configure identity and document types before adding account identities, directors, or documents.
  • Configure an authorized Agent before selecting one on an account.
  • For internal GL accounts, confirm that the branch, product, and currency do not already have an active authorized account. Authorization can also clone the internal account to the tenant's other active branches.
  • If the account will be requested during customer onboarding, configure the onboarding policy's Account post-action and make the selected product, currency, status, and optional condition available to that action.

Verify the setup

  1. Sign in as the intended maker.
  2. Open Customer Relationship → Accounts, then select Create Account.
  3. Confirm that the expected authorized product, account status, branch, and tenant currency can be selected.
  4. Select the intended holder type. For a customer account, confirm that the authorized customer is available.
  5. Save and submit a controlled test account.
  6. Complete its configured approvals and confirm that the account becomes Authorized and has an opening date.

Continue with Accounts and facilities for the operating procedure.
