Chart of Accounts
How to configure Products, code ranges, internal GL Accounts, Branch coverage, and Product Balances.
The remoteEaze Chart of Accounts is built from Products and Accounts. A Product defines the accounting classification and controls. An Account holds a balance for a Branch and Currency.
Open Business Configuration → Financial Configuration → Chart of Accounts.
Access and approval model
Products use maker-checker and amendments. Read Product shows the list and details. Create Product, Update Product, and Delete Product control their matching actions. L1, L2, and L3 authority controls approval.
Product Balances is a read-only system-managed view. Read Product Balance shows it and Export Product Balance permits export.
Product classifications and codes
| UI classification | Prefix | Number range | Normal balance |
|---|---|---|---|
| Asset | AS | 10000 to 29999 | Debit |
| Contingent Asset | CA | Shares 10000 to 29999 | Debit |
| Liability | LI | 30000 to 49999 | Credit |
| Contingent Liability | CL | Shares 30000 to 49999 | Credit |
| Income | IN | 50000 to 69999 | Credit |
| Expense | EX | 70000 to 79999 | Debit |
The first and last number in each main range are reserved for system-managed classification boundaries. User Products occupy the numbers between them. Asset and Contingent Asset share one sequence. Liability and Contingent Liability share another sequence, so the same number cannot be reused across the two prefixes in a shared series.
Leave Product Code empty for the next available number. If entering a number manually, it must fall inside the selected classification's user range and must not already be used in that series.

Create a Product
Select Create Product and complete:
| Field | Meaning |
|---|---|
| Product Name | Descriptive ledger category. |
| Product Type | Asset, Liability, Income, Expense, Contingent Asset, or Contingent Liability. It cannot be changed later. |
| Product Code | Optional five-digit sequence. Leave empty for automatic allocation. |
| Customer Product | On when customer Accounts may be opened on the Product. Off for an internal GL Product. |
| Allowed Branches | Branch allow-list for Account use. Empty means all Branches. |
| Restricted Departments & Units | Blocks actors in the selected Department or Unit from posting to the Product. |
The Branch and organization controls have opposite meanings. Allowed Branches is an allow-list. Restricted Departments & Units is a block-list. Posting checks the Account Branch and the acting user's Department or Unit.
Save a draft or submit it. Once Authorized, Product Name, customer-facing behavior, and restrictions can be amended. Product Type and Product Code stay fixed.
Product Balances and Branch creation
Final Product authorization creates a Product Balance row for every active Branch. Product restrictions are enforced when the Product is used; they do not remove system balance rows. Product Balance shows opening, Debit movement, Credit movement, and closing values for day, month, and year.
Creating a new Branch provisions Product Balance coverage for active Authorized Products whose Allowed Branches list is empty. Restricted Products receive coverage only for the Branches selected by their configuration. Branch creation also creates Authorized internal GL Accounts for internal Product and Currency identities already established in the company.
Internal GL Account replication
When an internal Account on a non-customer Product is Authorized, remoteEaze creates Authorized copies for active Branches that do not already have that Product and Currency identity. Account numbers are generated separately while the accounting identity stays consistent.
This is why dependent configuration can require an internal GL Account in every active Branch. Configure and authorize one valid internal identity, then confirm the generated Branch coverage before submitting taxes, commissions, FX, interest, or lending configuration.
