Branches, departments, and cost centres

How to maintain branches, reporting units, cost centres, and the organization chart.

Open Organization → Org Structure and use the Branches, Departments, and Cost Centres tabs. These records take effect immediately and do not use maker-checker.

Each tab is controlled by its own entity permissions. Read shows the tab and records; Create, Update, Delete, and Export control the corresponding actions for Branch, Department, or Cost Centre.

Branches

A head-office lead branch is created automatically with the tenant license. To add another branch:

  1. Open Branches and select Create Branch.
  2. Complete General, Location, and Settings.
  3. Create the branch.

In General, enter the name and choose Lead Branch or Sub Branch. A lead branch has no reporting branch. A sub-branch must report to a lead or another valid branch. The parent must be in the same country, and remoteEaze prevents circular reporting relationships.

In Location, choose the country and tenant base currency. A branch must use the organization's base currency, and its currency cannot be changed after creation. A branch timezone is optional; leave it empty to inherit the tenant timezone.

In Settings, choose whether to Include in Consolidated Reports and set the branch's Non-Working Days.

remoteEaze generates the branch code from the company abbreviation, country, branch sequence, and fixed suffix. A lead branch uses sequence 000; sub-branches are numbered from 001 within the country. Creation also prepares the eligible product balances and branch general-ledger accounts required for that branch.

Deleting a branch is a soft deletion and is blocked while protected dependent records or sub-branches still reference it.

Departments and units

Select Create Department, then choose the node type:

  • Department can be top-level or report to another department;
  • Unit must report to a Department.

A Unit cannot be used as a reporting parent. remoteEaze prevents cycles in the hierarchy. Enter the name, optional description, reporting parent, optional department head, and any labeled department phone numbers. A department head must be an active user in the same tenant.

Codes are generated as DDDD-0000 for a Department and DDDD-UUUU for a Unit. You may supply an unused four-digit sequence while creating the node; otherwise remoteEaze assigns the next sequence. A Unit keeps the prefix of its parent Department.

Cost centres

Select Create Cost Centre, enter its name and optional description, and create it. remoteEaze assigns the code. Cost centres are classification values; they do not form a reporting hierarchy.

Review the organization chart

When Read User is available, select Organization Chart from the Org Structure header. It combines the department hierarchy and assigned users so you can verify reporting placement after maintaining departments or user assignments.

Branch assignment and accessible branches also affect data-access scope. Configure the structure before inviting users.
